Booking Conditions

These Booking Conditions form the basis of the agreement between Explores India ("we", "our", "us") and the traveler, travel agent, tour operator, or organization ("you", "your", "client"). By confirming a booking with Explores India, you acknowledge that you have read, understood, and accepted these Booking Conditions.


1. BOOKING PROCESS

A booking request does not constitute a confirmed reservation.

A booking shall be considered confirmed only when:

  • Availability has been verified.
  • Required deposit or payment has been received.
  • Written confirmation has been issued by Explores India.

All services remain subject to availability until confirmed in writing.


2. DEPOSITS & PAYMENT SCHEDULE

To secure arrangements, the following payment schedule generally applies:

FIT (Free Independent Travelers)
  • 25% - 30% deposit upon confirmation
  • Balance payment 60 days before arrival
Group Bookings
  • 25% - 30% deposit upon confirmation
  • Balance payment 90 days before arrival
Luxury Travel, Festival Departures & Special Events

Certain services may require:

  • Higher deposits
  • Full advance payment
  • Non-refundable deposits

This includes:

  • Palace hotels
  • Luxury trains
  • Internal flights
  • Chartered services
  • Exclusive experiences
  • Peak season departures

Specific payment requirements will be communicated at the time of booking.


3. LAST-MINUTE BOOKINGS

Bookings received within 30 days of arrival may require 100% payment at the time of confirmation.


4. ACCEPTED PAYMENT METHODS

Payments may be made through:

  • Bank transfer
  • International wire transfer
  • Credit card
  • Debit card

Any bank charges, transfer fees, currency conversion charges, intermediary bank deductions, or payment gateway fees shall be borne by the client unless otherwise agreed.


5. CURRENCY

Quotations may be provided in:

  • USD
  • EUR
  • GBP
  • INR

Payments must be made in the currency specified on the invoice unless otherwise approved.


6. PRICE VALIDITY

Quoted prices are based on:

  • Current exchange rates
  • Government taxes
  • Fuel costs
  • Supplier tariffs

Prices may be revised prior to confirmation due to:

  • Currency fluctuations
  • Tax revisions
  • Fuel surcharges
  • Supplier price increases
  • Government regulations

Once confirmed and paid as agreed, prices will generally remain fixed except where government-imposed changes apply.


7. ACCOMMODATION

Accommodation is booked subject to availability.

Hotels reserve the right to:

  • Change room categories
  • Renovate facilities
  • Modify services

Room allocation is solely at the discretion of the hotel.

Special requests such as:

  • Early check-in
  • Late check-out
  • Interconnecting rooms
  • Non-smoking rooms
  • Specific room locations
  • Bedding preferences

cannot be guaranteed unless expressly confirmed.

Standard Check-In / Check-Out
  • Check-in: Usually after 1400 hrs
  • Check-out: Usually before 1200 hrs

This may vary by property.


8. CHILD POLICY

Child rates vary according to:

  • Age of the child
  • Hotel policy
  • Airline policy
  • Room occupancy

Age proof may be required at check-in.

Additional charges may apply if the child's age differs from information provided at booking.


9. TRANSPORTATION

Transportation may include:

  • Private vehicles
  • Shared vehicles
  • Coaches
  • Domestic flights
  • International flights
  • Trains
  • Ferries
  • Boats

Schedules are subject to change by operating authorities.

Explores India shall not be responsible for delays, missed connections, route changes, or service interruptions caused by third-party operators.


10. FLIGHT BOOKINGS

Where flights are arranged:

  • Airline rules apply.
  • Tickets may be non-refundable.
  • Name changes may not be permitted.
  • Schedule changes are controlled by airlines.

Any fare increase occurring before ticket issuance shall be payable by the traveler.


11. TRAIN BOOKINGS

Rail reservations are subject to availability and railway regulations.

Waitlisted tickets cannot be guaranteed.

Alternative transportation may be offered where feasible, subject to additional costs.


12. VISA REQUIREMENTS

Travelers are solely responsible for obtaining:

  • Passports
  • Visas
  • Transit permits
  • Travel authorizations

Explores India may provide information and assistance but does not guarantee visa approval.

No refunds shall be provided due to visa refusal, delayed processing, or incorrect documentation.


13. TRAVEL INSURANCE

Comprehensive travel insurance is strongly recommended.

Coverage should include:

  • Medical expenses
  • Emergency evacuation
  • Personal accident
  • Trip cancellation
  • Trip interruption
  • Loss of baggage
  • Personal liability

Travelers participate at their own risk if adequate insurance is not purchased.


14. MEDICAL CONDITIONS

Travelers must disclose any:

  • Medical conditions
  • Mobility limitations
  • Disabilities
  • Dietary restrictions
  • Allergies

Failure to disclose relevant information may affect participation in certain activities.


15. ADVENTURE ACTIVITIES

Adventure activities involve inherent risks.

These may include:

  • Trekking
  • Hiking
  • Rafting
  • Motorcycling
  • Cycling
  • Wildlife safaris
  • Mountaineering
  • Water sports

Participation is voluntary and undertaken entirely at the traveler's own risk.

Guests must comply with all safety instructions provided by guides and operators.


16. CHANGES REQUESTED BY THE CLIENT

Changes after confirmation may result in:

  • Amendment fees
  • Additional supplier charges
  • Fare differences
  • Revised hotel rates

All amendments are subject to availability.


17. UNUSED SERVICES

No refunds will be provided for:

  • Missed meals
  • Missed sightseeing
  • Unused accommodation
  • Voluntarily skipped services
  • Early departures

after travel has commenced.


18. FORCE MAJEURE

Explores India shall not be liable for disruptions resulting from circumstances beyond reasonable control, including:

  • Natural disasters
  • Floods
  • Earthquakes
  • Landslides
  • Pandemics
  • Epidemics
  • War
  • Civil unrest
  • Terrorism
  • Government restrictions
  • Border closures
  • Strikes
  • Transportation failures

Alternative arrangements will be made whenever reasonably possible, subject to additional costs if applicable.


19. TRAVELER RESPONSIBILITIES

Travelers are expected to:

  • Respect local customs and traditions
  • Follow laws and regulations
  • Respect wildlife and protected areas
  • Comply with safety instructions
  • Conduct themselves responsibly

Any costs arising from misconduct shall be borne by the traveler.


20. COMPLAINTS & ASSISTANCE

Should any issue arise during travel, clients must immediately notify:

  • Local representative
  • Tour manager
  • Explores India operations team

This allows an opportunity to resolve concerns during the journey.

Complaints submitted after travel should be received within 30 days of tour completion.


21. CANCELLATION & REFUND

Cancellation charges shall be governed by the applicable Cancellation & Refund Policy published on our website and communicated at the time of booking.

Certain services may carry separate supplier-imposed cancellation conditions.


22. ACCEPTANCE OF BOOKING CONDITIONS

By confirming a booking with Explores India, the client acknowledges acceptance of these Booking Conditions on behalf of all travelers included in the reservation.
